Email notification

A notification is automatically sent by email to participants of a form when changes to the form make it unread for them.

  • Note: Until a participant views the form & resets their unread flag, additional changes do not send additional emails. In other words, only one email is sent per participant per form per series of changes.

An email notification is not sent if:

  • Email notification is "Off" for the subscriber (see below)
  • The user has chosen not to receive email notifications for this process or at all (see below)
  • The participant's logon is disabled
  • The participant has since had permission to view forms in this process taken away
  • The participant doesn't have a valid email address
  • The form is archived
  • The process template is "Off"

Email notification settings

User

Each user can turn email notification "On" or "Off" for themselves and for each process he or she has access to. Click "Email notification" on the "My settings" pages. The default setting for new users is "On" and "Yes" for each process.

Subscriber

At the subscriber level email notification can be turned "On" or "Off". Both this setting and the individual user's setting must be "On" for the email to be sent. In other words, turning either setting to "Off" will cause the email notification to not be sent. Click "Email notification" on the "information management" settings page. The default setting for new subscribers is "Off".

For the subscriber email notification to be turned on, a "From" email address is required. This should be an address at the subscriber's company office and is used for all email notifications. If an email notification send fails or someone replies, it will go to this address.

Finally, each subscriber has an email history that displays email notifications sent in the past 60 days. The length of time this history is kept can be adjusted by an administrator.

Security

Staff users

  • Staff users control their own email settings.
  • The subscriber email settings requires the "View, modify management" privilege.

Agent users

  • Agent users control their own email notification settings.
