Participant

In process management each form has participant. A participant is a user who may work on the form, editing the values in the data fields, adding and editing actions, attaching files, etc.

Security

Staff users

  • Staff users may view a form regardless if they are a participant or not as long as they have a “Limitedâ€? or "Full" privilege for that process.
  • Staff users may add any other user as a participant including themselves as long as they have a “Limitedâ€? or "Full" privilege for that process.
  • Once a staff user is a participant they may remove other participants except the form owner.
  • A staff user is not available to be added as a participant if they have a “Hiddenâ€? privilege for that process.

Agency managers

  • Agency managers may only view a form if a rep or manager in their agency is a participant.
  • Agency managers may add a manager or rep from their agency as a participant including themselves as long as they can view the form.
  • Agency managers may remove participants who are a rep or manager of their agency, expect themselves.
  • Agent users are not available to be added as a participant if the process has been set as “hiddenâ€? from agent users.
  • Entire processes may be hidden from agency users and this supersedes the above.

Agency reps

  • Agency reps may only view a form if they are a participant.
  • Agency reps may add a manager from their agency as a participant to forms they are a participant of.
  • Agent users are not available to be added as a participant if the process has been set as “hiddenâ€? from agent users.
  • Entire processes may be hidden from agency users and this supersedes the above.

Adding a participant

  • The user who starts a form is automatically added as a participant. If that user is an agent user then a staff participant will be automatically added as well (see Process management).
  • To add further participants click “Add a participantâ€? under the list of participants on the form details page or after clicking “Editâ€? in the participants section.
